Finance Officer (Receivable)

Main purpose of the role:

Responsible to the Financial Director, the Finance Officer (receivable) ensures that payment is received for all invoices raised, and reconciles payments against invoices in the practice accounting system.

Debtors

 

 

1.1

Invoicing

Invoices are raised appropriately and accurately for services provided.

Invoices are transmitted to debtors in a timely fashion, where possible to be received before the end of the month in which the service was provided, or otherwise in accordance with practice policy.

Receipts are issued to debtors when requested.

 

 

1.2

Money In

Invoices are checked against amounts received and any discrepancy checked.

Discrepancies that cannot be resolved are discussed with the Financial Director

Reconcilliation is made against the practice accounting system.

 

1.3

Communication

Debtors are dealt with courteously, sensitively and in accordance with practice policy.

Patient debtors' needs and circumstances are taken into account when negotiating payments.

 

1.4

Debt collection

Where appropriate, and after attempts to settle by other means have failed, debtors are referred to debt collection services.

 

1.5

Record Keeping

Records of invoices are maintained for not less than 7 years and in accordance with practice policy.

When required, invoices may be retrieved readily.

 

1.6

Reporting

Levels of debt are monitored and reported regularly to the Financial Director.

Significant changes in debt both individual and collective are reported to the Financial Director.

Where necessary, reports are made to the Financial Director, Company Accountant, IRD, DHB or other statutory agencies.
